 How to develop Good Listening Skills

Give people time

It is a rare individual who can accurately and cogently articulate his or her thoughts at the first take. And when the subject matter is to do with interpersonal difficulties or deeply felt problems it is especially hard. people need time to get their thoughts together. Listeners who jump in too quickly deny him that opportunity. Don’t be afraid of silences – too often we leap to fill them and cut off a valuable train of thought in the process.

suspend judgement while you are listening :

At this stage it is unimportant whether you agree or disagree with what is being said. Signalling disagreement, for example, may lead to the speaker taking up a defensive position, which they will subsequently find it difficult to step away from. It’s by no means easy to suspend judgement, especially if you have approached the discussion with strong views of your own. But work at it. It is important.

Reflect back :

When the other person finished making his or her point, summarise what you think has been said. This allows you to confirm the accuracy of your understanding, and also gives the other person the opportunity to correct anything not expressed accurately first time around. In reflecting back, it is important again to exclude judgements or assumptions of your own about what the person has said.

Question :

If there are points of vagueness or uncertainty, encourage clarification by asking questions. Open questions – those that cannot receive a yes / no answer – are most appropriate when you want to draw out further information without injecting your own assumptions or closing the discussion down on to one option. So rather than asking ‘Do you want me to give you additional time with this project?’ (closed question), ask ‘What can I do that will enable you to complete this project?’ (open question). Closed question may be appropriate as follow-ups when you are narrowing down options.

What if you are dealing with difference of opinion? ‘surely’, you may say, ‘I don’t have to sit and listen to everything the other person has to say without indicating my own opinion or my disagreement at any stage.’ Yes, you do, at least if you want to resolve the problem successfully. If you can demonstrate that you are able to listen, really listen, while the other person articulates his / her perception of the truth, and that you are prepared to do so without anger or judgement, you have much greater chance of reaching an amicable solution. Of course, the other person must respect your right to be heard in the same way. There is a much greater chance of that happening if you have clearly set out the ground rules for the discussion in advance and stuck by them. Your introduction might be along the lines of ‘I am going to listen to what you have to say as carefully as I can, and make sure that I understand your point of view. I hope that will then do the same thing for me.

Get to the point quickly: lengthy introductions may cause your listener to turn off before you arrive at what it is you really want to say.

Don’t go over the top with praise: if you something critical to say, opening your remarks with some comments about the persons strengths can help to defuse a defensive response, but laying it on too thickly will smack of insincerity.

Don’t apologise: by all means acknowledge that you have something to say that may not be entirely comfortable, but profuse apologise give the message that (1) you have right to say what you are saying, and (2) what you are may not be valid.

Check the other persons understanding of what you have said: any defensiveness on the part of the other person will increase the chance of misperceptions.

Be proximate: feedback is best delivered as soon after the event as possible. If the message is a critical one, then waiting until the next review meeting comes around smacks of harbouring bad feeling. If the feedback is positive then it will have a far more potent effect on performance if it occurs immediately following the behaviour.

Be specific: often as givers of feedback we hide behind vague comments that difficult to challenge but also impossible to unpack. These are not helpful at all. The receiver needs to precisely what it is about his or her performance that is not working well so as to be able to do something about it.

Own what you say: don’t hide behind organizational policy or the reported opinions of senior people.

Deal with what is achievable: for all of us there are limits to how far and how fast we are able to change. A shy and tongue-tied interviewee is not going to be one leap. So give people things they can get hold of – incremental steps that they will take them along the road to the ultimate goal. Don’t load them with too many points either. It will be disheartening for them and will probably mean that none of the recommendation get tackled properly. Recognise also there may come a stage for everybody where personality or ability will permit no further change.

Deal with behaviour, not with people: if you are giving feedback that may interpreted as critical, be sure that you are focusing on the behaviour and not the person. Avoid labelling people with expressions

How It Works?

Pomodoro technique: Once you have your daily study tasks planned out, you need to work with a system that will enable you to get your work done efficiently and effectively. The human mind cannot efficiently focus on any single task for too long. What the solution?

Have you heard of the Pomodoro technique?

Francesco cirillo was inspired by this kitchen tool and created a technique known as the Pomodoro technique in the 1980s.

There are five basic steps to implement this technique.

The Pomodoro Technique To Boost Your Study And Work.

5 Basic steps to implement:

  • Decide on the task.
  • Set your clock or timer to 25 minutes.
  • Work on the task for 25 minutes with zero distractions.
  • Take a break of 3-5 minutes after the task and then move on to the next task.
  • Complete four such tasks and then take a longer break of 15-30 minutes.

As tasks are split into smaller segments, they become more manageable. This far less daunting than one mega task. Think of jean beliveau and the 47,000 miles he had to walk. Splitting that down into smaller chunks was the key in getting through the bigger task.

It has been proven that one’s focus and concentration tend to decrease with time. A study on the ability of the human mind to focus on a particular matter – what is commonly called the attention actually drops with time. You will notice from the graph below that there is a massive drop in human attention after thirty or so.

Hence the Pomodoro technique limits each working segment to twenty-five minutes, after which you reward yourself with a short break. During this break, you leave your study position, stretch, have a drink, visit the rest room, massage your temples or eyes, breathe deeply or walk around. The short break enables you to attack the next task with far more concentration. Longer breaks of fifteen to thirty minutes after four Pomodoro tasks can be used for taking a walk, a meal, a gym session or a power nap.

Think of the routine as chopping wood and the breaks as time taken to sharpen the blade of your axe. There’s simply no point in expending more effort with a blunt blade.

Note: You can also change the time as per your requirement. Instead of typical 25 minutes period and 5 minutes break, chart 45 or 50 or 60 minutes period and 10 or 15 minutes break. This will allow you to focus for long on your text and long breaks to knob phone calls, having coffee etc.

How to work or study smarter than harder? We have all seen some classmates who breeze through their lessons, are hardly seen studying, have free time, enjoy curricular and social activities…and yet good marks. How do they do it? I will attempt to reveal the efficient method used them in this book.

You may well ask: why we have not been taught these methods in school. What I have found is that teachers and parents always students to study hard, but not really tell them how. How to study smart rather than study hard is what this book attempts to reveal to. Let me explain the difference with the short story.

Story: work smarter, not harder

Once upon a time there was king who has 3 sons. The king was getting older and decided that it was the time to choose successor. The aging monarch call all his sons and gave them a task. Each one has to fill a room with a single substance in such a way that not even a slightest gap would be unfilled. They were allotted a few hours to achieve this.

All three-princess hurried of in the directions of their respective room. The first decided to fill the room with large stones. He ordered his servant to start caring out the task, but it was physically demanding work and the progress was slow. To second price struck upon a better idea and he ordered his servants to fill the room with the bales of hay. This was far easier than lifting the heavy stones and young prince succeeded in the getting entire room filled up within the allotted time.

The third prince took the small bottle filled with a liquid and carried into the room allotted the room. He closed the windows and doors of the room and then sprinkled the room all over.

Once the time had run out, the king visited all the 3 rooms. The first room was only partially filled with stones the problems was that due to the heavy nature of the work, the assignment has not been completed.

The second room was fully packed with hay. The problem was that hay have tiny gap through which the sunlight could pass. These did not meet the criteria that the monarch had set.

The king visited the third room and as he opened the door, his nostrils over powered by the sweet fragrance of the jasmine. The king visited every nook and cranny of the room and found that smell of the jasmine was all pervasive. He realized that the third prince had simply sprinkled perfume all over the room.

The king smiled he had found an abled successor. One who work smarter than harder.

3 ways to work smarter than harder

Fine. So, we need to work smart instead of hard. But how? Most people think that work in smart means a ‘shortcut.’ That’s not quite true. Working smart means working in a manner that is organized, efficient and effective. Period.

  • Organized: how you be better prepared for class, come under no last-minute pressure for assignments and work according to a planned schedule?
  • Efficient: how can you use your time in a way that promotes maximum learning in minimum time?
  • Effective: how can your organization and efficiency lead you to better learning and higher marks?

we must also remember that getting good marks is not enough, studying without understanding is like chanting mantras in prayer without understanding the meaning or significance of those prayers. Why should those chant work for you if you can’t even understand them? And that is also the difference between getting good marks and getting a good education.
